Document composition and formatting

M&BM together with XEROX has developed a specialized software platform for variable data pre-processing, document formatting and structuring the customer database. The B2B customer (Assignor) provides XML files or flat files with variable data necessary for printing. The files are pre-processed, input into a relational database, verified, sorted and grouped based on external address indexes created by a Geographic Information System (GIS). We call this process Geo-collation. Having the input data arranged and grouped for delivery facilitates the couriers’ operation in the field. As a result the speed of delivery is increased significantly while the error rate is controlled on negligible levels. M&BM Ltd updates its address database all the time based on the experience and feedback by our field force. Thus we are able to provide to our customers feedback information in electronic format for all non-delivered packages and the respective reasons. We are also able to provide to our customers feedback information for updating and/or cleansing of their address database.



Flexibility

Our times for servicing of a change request are among the shortest Europe-wide. The usual time for completing a non-structural change request is one day. The usual time for completing a structural change request – one that is related to the document business logic and the structure of underlying data – is three days. Marketing-related requests for graphic changes, brochure inserting logic etc. are serviced in the same business day.



Printing and Enveloping

The performance of the activities of printing and enveloping in the printing centers as well as observing the schedule is controlled by the Director of Printing centre Sofia.
Printing is done on A4 paper, enveloping – in C6/5, C5 and C4 envelopes with an address window. As a last line of the address field after agreement with the Assignor it is advisable to place a “barcode” to facilitate the consistency control, sorting and delivery reporting. Up to 3 (three) additional sheets with marketing materials can be inserted during the enveloping process.
All the printed documents are stored in electronic format (PDF) in the Data Processing and Composition centre in Sofia for reprint purposes. The period of time for st
оrage is agreed with the Assignor.


Delivery
To perform its delivery activities M&BM Ltd. has regional offices in all 28 (twenty-eight) regional centers and municipal offices in the bigger municipals. The rest of the towns and villages are grouped and serviced by the nearest offices of the company. The total number of employees is over 1200 (one thousand and two hundred).
In order
to improve the operative processes and provide consistently high quality of the services M&BM Ltd. implemented “SANTA – courier” dispatch management information system which performs:

-          recording the status of each transaction

-          tracking each step of every package

-          archiving of the information

-          a set of various reports for optimizing the working process and reporting to customers

Contracted quality terms and conditions, deadlines and performance parameters of the service are specified in Service Level Agreement (SLA) as an appendix to each contract signed between M&BM Ltd and our clients.

Reporting
Submitting of all reports to the clients is done by the Director of Coordination and Control of Projects for printing, enveloping and delivery” Department. Reports can be submitted personally or by e-mail depending on the requirements.

Confidentiality
As a company which is constantly working with big customer databases M&BM Ltd values security, confidentiality and customer satisfaction. M&BM Ltd has a certificate for a personal data administrator No 6531/ 09.06.2005 which is issued by The Commission for Personal Data Protection.
Upon signing a contract for the services we
propose an agreement for confidentiality with the customer in which the security level for data transfer and the people with access are specified. The data for printing can be received by CD, FTP server of the customer, VPN and is being processed in Printing Centre Sofia which has a managing role over the rest of the printing centres. The other printing centres work only with PDF or PS files. In this way, only in Sofia and only a limited number of employees have access to the customer database. A system for card access is established in the printing centres and during a printing campaign, the number of people with access is reduced. Only people working on the respective project are allowed to enter the printing centres.


Archiving
M&BM provides archive storage of documents, search, retrieval and access to archived documents in two ways – online via web or offline – through a request by an authorized person; scanning, indexing and storage of paper documents in electronic form; data extraction from an electronic archive in process-ready data format; searching and retrieval of documents from an electronic archive.
